Marketing Assistant/PA

Core responsbilities

  • Being the initial point of contact for visitors and administration matters - professional telephone management vital, operating the switchboard and call screening
  • Arrange meetings via outlook including inviting external guests and liaising with other PA’s
  • Extensive diary management – proactively grasping a thorough understanding of managing time, prioritisation, delegation, managing stakeholders
  • Booking and managing complex travel itineraries
  • Manage inbox of the CEO so that emails are filed and important emails are flagged
  • Set up and manage video conferences
  • Creating detailed PowerPoint presentations
  • Ensuring the smooth running of the office including overseeing office contracts, key services and procedures
  • Preparing/resetting meeting rooms with refreshments for large groups
  • General housekeeping
  • Order and manage office supplies
  • Administration - post, scanning, email and mail distributions, updating spreadsheets, databases etc.
  • Implement and maintain effective administration systems
  • Maintain contacts database – ensuring contact details are kept up to date
  • Pro-actively pull together papers in preparation for meetings
  • Attending key meetings and minute taking
  • Make website changes through the company CMS
  • Manage social media profiles including LinkedIn, twitter and Facebook
  • Liaise with third party marketing agency
  • Track and monitor all inbound marketing leads
  • Create, manage and send quarterly newsletters
  • Arrange staff social events
Desired profile
  • A friendly and hospitable manner
  • Two years office assistant, personal assistant or receptionist knowledge
  • Excellent organisational and time-management skills
  • Highly developed communication skills; written and verbal
  • Excellent proofreading skills
  • Ability to work alone and use own initiative
  • Attention to detail
  • Highly organised
  • Ability to handle multiple projects simultaneously
  • Microsoft office - intermediate in Word, Excel and PowerPoint and advanced in Outlook
Preferable but not essential
  • Experience in managing SEO and PPC campaigns
  • Digital design experience (full adobe suite)
  • Content writing for weekly blogs and case studies
  • Experience in an IT or cabling company
